Privacy policy
LandlordLog is operated by Rocky Mountain Appraisal Ltd. ("we", "us"), a British Columbia company. This policy explains what personal information we collect through landlordlog.ca and the LandlordLog app, why, and how we protect it. We follow British Columbia's Personal Information Protection Act (PIPA).
What we collect
- Your account: your email address, which you use to sign in.
- Your records: what you enter about your rentals, such as addresses, rent, deposits, repairs and expenses, and your tenants' names and contact details.
- Billing: your plan, subscription status and payment history. Card numbers are handled by our payment processor, Stripe; we never see or store them.
- Reminder list: your email address and the date you signed up, if you ask for rent-limit and tax-time reminders. We keep this record as proof of your consent under Canada's anti-spam law.
- Technical information: basic logs such as IP address and browser type, kept by our hosting providers for security and reliability.
Why we use it
- To provide the service: store your records, calculate rent increases and deposit interest, and produce your exports.
- To bill you, send sign-in links, and send messages about your account.
- To send reminder emails, only if you asked for them. Every one identifies us, gives our mailing address and has a working unsubscribe link, and we act on unsubscribe requests within 10 business days.
- To keep the service secure and working, and to meet legal and tax obligations.
We do not sell personal information, and we do not use your records or your tenants' information for advertising.
Your tenants' information
When you enter information about your tenants, you are the organization responsible for it under BC's privacy law: you decide what to collect, and you must collect it lawfully and use it only for managing the tenancy. We store and process it only on your behalf, to provide the service to you. It is visible only to your account, and we do not use it for any other purpose. If a tenant asks us about their information, we will refer them to you.
Who we share it with
We use a small number of service providers to run LandlordLog. They receive only what they need and must protect it:
- Supabase, for the database and sign-in. Your records are stored in Supabase's Canadian data centre. Sign-in emails are sent through its email service.
- Stripe, for payments.
- Netlify, for hosting the website.
Some of these providers are based in the United States, so some information, such as billing details and website logs, may be processed outside Canada and be subject to the laws of those countries. We may also disclose information where the law requires it.
How long we keep it
We keep your records while your account is open. If you close your account, we delete your records within 90 days, except billing records we must keep for tax purposes, usually for six years.
How we protect it
Each landlord's records are locked to their own account by database security rules. Connections are encrypted, and access to our systems is limited to the people who run LandlordLog. No system is perfectly secure. If a breach of security safeguards involving your personal information creates a real risk of significant harm, we will notify you, and the authorities where required, without unreasonable delay.
Your choices and rights
You can see and change your records in the app at any time, export them, or ask us to delete your account. Under PIPA you may also ask what personal information we hold about you and ask us to correct it. Email support@landlordlog.ca and we will respond within 30 days.
Contact and complaints
Our privacy officer is the person responsible for LandlordLog's compliance with this policy. Questions about privacy go to support@landlordlog.ca. If you are not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner for British Columbia.
Changes
If we change this policy, we will post the new version here with a new effective date, and tell account holders by email about significant changes before they take effect.
